When a work chat turns into a dumping ground

Signs of a cluttered work chat, why it happens, and how to restore order: channel structure, task chats, and ground rules.

At first one shared chat is convenient: everyone is reachable, it’s fast, no bureaucracy. Six months later it holds thousands of messages and finding anything important is impossible.

Signs of a dumping ground

  • Finding yesterday’s decision takes five minutes of scrolling.
  • An important message drowned under memes and “ok”.
  • A newcomer is told: “read the last month of conversation”.
  • People muted notifications because there are too many, and now miss what is truly urgent.
  • The same question is asked again because the answer “was somewhere”.

Why it happens

One chat for everything. Sales, tech questions, lunch, and birthdays in one feed. Such a stream has no topic, so it has no order.

No line between discussion and decision. Decisions sit in the same messages as musings. Only someone who was there can tell them apart.

No owner. Nobody is responsible for cleanliness, and everyone adds a little noise.

How to restore order

  1. Split by topic and project. Separate channels for different projects and directions, a separate place for casual talk.
  2. Discuss a task in its own chat. Context doesn’t smear across the general feed but sits by the card. See task and group chats.
  3. Turn decisions into objects. A decision is a task or a note, not a remark. The /task command does it right from the chat.
  4. Agree on rules. What goes to the general channel, what to a private one, what counts as urgent.
  5. Use search and pins. Pin the important, find the rest through unified search.

The point

A chat is a stream, not an archive. The faster you pull decisions and tasks out of it, the longer it stays useful.
